Important: While Step 4 (Invite Users & Assign Roles) is one of the last steps, it is crucial for a successful setup experience. Make sure you complete this step to grant users access to Alteryx One.
Tip: If you’re an existing customer of Designer and or Server, make sure to transition your licenses to Alteryx One within 180 days of renewal to avoid disruption. See the Alteryx One Licensing for Existing Customers section below to learn more.
Alteryx One (unique URLs based on the region where your workspace was created)
The Admin Console is the top-level management layer in Alteryx One, available only to account admins. Key responsibilities include:
- Creating and managing workspaces.
- Assigning additional account admins and workspace admins.
- Managing audit logs, billing, and licensing contracts.
- Configuring capabilities at the account level.
Once a workspace is created, workspace admins manage everything within their assigned workspace in the Workspace Management page. Their responsibilities include:
- Inviting and managing users.
- Assigning roles and capabilities.
- Configuring connection credentials, data processing, and data storage.
- Managing user groups.
Every Alteryx One account comes with a default, auto-provisioned workspace. You can view and manage your workspaces in Workspace Management.
Tip: The workspace is the foundation of Alteryx One – your collaborative environment where users access capabilities, build solutions, and collaborate across teams.
Important: Throughout the guidance below, you'll notice instructions to select the relevant workspace. This is crucial for admins, who manage multiple workspaces.

- Sign in using your work email and password.
- Accept the license agreement.
- You’re signed into Alteryx One.
Step 2: Add Account Admins

- Select your relevant workspace from the upper-right Profile menu.
- Select Account Admin from the left navigation panel.
- Land in the Admin Console.
- Select Invite Admins.
- Select Invite.
- Enter the email, assign the account admin role, and select Invite.
- The new account admin receives an invitation email from no-reply@mail.alteryxcloud.com and gains access to Alteryx One once they complete the setup process as noted in Step 1 above.
Step 3: Assign Workspace Admins

- Select your relevant Workspace Admin from the upper-right Profile menu. Then, select Workspace Admin from the left navigation panel.

Step 4: Invite Users & Assign Roles
Tip: This step is crucial in granting users access to Alteryx One and must be completed by a workspace admin.

Tip: If using Offline Activation, the user must upload the REQ file themselves from the Download Center. If the Workspace Admin performs this action for the user, the resulting BIN activation file will include the Admin's role, not the User's role. Learn more about activating a license offline.
Step 5: Edit Roles
Tip: When you invite users to your workspace, you need to assign a role. You can create a custom role if access restrictions are needed.
- Select your relevant workspace from the upper-right Profile menu. Then, select Workspace Admin from the left navigation panel.

Alteryx One Licensing for Existing Customers
Tip: This step is crucial in transitioning users to Alteryx One and must be completed by a workspace admin.
For existing customers who renewed on Alteryx One, it's important to note that Alteryx uses a new licensing model. Existing license keys are extended for 180 days after their expiration date to help with the transition to Alteryx One. Users who remain tied to old license keys after the 180-day window ends will lose access to licensed products until they are invited to Alteryx One.
Watch this step-by-step video to complete your transition to Alteryx One:
Alternatively, follow the documented guidance below:
- Complete the setup process as noted in Step 1 above.
- Download the list of user emails from the old licensing portal.
- Open the file and convert the email column to a comma-separated format.
- In Alteryx One:
- Choose the relevant workspace from the upper-right Profile menu.
- Select Workspace Admin from the upper-right Profile menu.
- Select Invite from the left navigation panel.
- Paste the list of emails to invite users.
Once users have been invited and successfully set up in Alteryx One, they will be able to sign in and activate their license. To complete activation in Designer, the user will need to follow the instructions based on their Alteryx version:
- For versions 25.1+: review Activate License Online with Alteryx One Platform
- For versions 24.2 and earlier: review License Designer Desktop 2024.2 and Earlier with Alteryx One Licensing
